How to write a complete cover letter
The cover letter is a cover letter to apply for a job that contains short narrations about your description of yourself and your work. The application letter should be short and individually impressed so that it can establish a connection between you and the company as well as the job you want. The way you create a cover letter depends on the style of communication, such as the style of writing in an official email (e-mail) is certainly much different from the style of writing on a regular letter.
A. Creating a Traditional Application Letter (By Post)
1. Make sure that you are required to send your cover letter by post. Since most job openings are now advertised online, most of the cover letter is sent by email. If you are asked to apply for a job by mail, the company requesting this usually tends to be more conventional or the job position offered by the company is high.
2. Write your cover letter using professional letterhead (if you have one). If you do not have letterhead, it’s okay not to follow this step. If you are currently working as a consultant or if you are bidding for a contract, you must have letterhead.
3. Write the date you created a cover letter on the top right or top left of the page.
4. Include also the name of the company’s department and company’s address. The writing should follow the standard format of an official letter.
5. Find information in advance about the person who will read your cover letter. Before you write “Dear. Personnel Manager: “, check out the e-mail, company website, and job vacancy information to check the name of the person responsible for the recruitment process.
- Your attention to detail and the individual impression you give to the opening greetings can create a big difference among the hundreds of cover letters that read “To The Stakeholder:”
- If you can not find the name of the person responsible for the recruitment process, simply write “Dear. Head of Department … “with the department name adjusted to the position you are applying for.
- If you can not find the name of the department, you can write “Dear. Director “or” Dear. Personnel Manager “. 
- Use LinkedIn to find the name of the personnel manager.
6. List the names of staff who provide recommendations or information about job openings to you in the opening sentence. The opening sentence like this is a good opening sentence to apply to all application letters as it can establish a connection between you and the company.
- For example: “I wrote a job application letter to this company on the recommendation given by Bp.xxx regarding the position of general manager at EnviroRent.”
- If you do not know any of the staff in the company you’re after, do some research so you can create different (distinctive) opening phrases compared to others. The next option you can choose is to write down the admiration for the lectures given by the company recently, the work or initiatives that the company did that interest you.
- If you have an active alumni association, use the association to find a connection with someone and ask a college acquaintance to provide a reference.
7. Write your cover letter using the standard 4 paragraph format. After you write the opening sentences then write a summary of your career history in 1 or 2 sentences. Then write down the achievements you’ve achieved in the next paragraph and followed by a paragraph that explains how you can be contacted later.
8. End with the word “Yours” before you sign it. Also include contact information under your signature.
9. Submit your application letter via professional email and not your personal email. You can choose Gmail instead of Hotmail or Yahoo. But if you send email from a personal site or from Outlook it would be better.
B. Creating an Application Letter Through Email
1. Underline any words that might become keywords in the description of a job. You can also write down other keywords that you can use to apply for a job position. Big companies usually use keyword crawlers (a program that allows for quick search of all the internet pages to get the data it seeks) to sort hundreds of thousands of CVs, so make sure you include some terms directly related to your job positions Apply.
- But make sure you do not just copy the keywords directly from the job description. Always create the concept using your own words.
2. Fill in the subject line of your email. Describe you and your work.
- Example: “Sales Manager with superior performance looking for General Manager position.”
- If you do not feel comfortable in describing yourself, you can fill it with a job position only.
3. Skip writing date and company address. You can start the letter with the opening greeting.
4. Write “To Yth” and the name of the personnel manager, followed by a comma. Spend some time searching for information about the person in job vacancy information, company site or at LinkedIn.
- Use the word Mr / Ms if you are unsure of gender and also marital status. If you are in doubt, you can only include the full name of the person in question.
- If you can not find the name of the person in question, you can write down the name of the department or if you do not just write “Dear. Personnel manager.”
5. Begin your initial paragraph by mentioning the name of the person who provided you with information about a job vacancy in the company. Just like an official cover letter, if you do not have a connection, you can give a reason why you are interested to work in the company.
6. In the second paragraph, make a summary of your career history. Then followed by the achievements you’ve achieved. Just include a list of achievements that have direct relevance to the contents of the letter of application and job positions you are applying.
7. End the cover letter with a sentence that informs you when you can be contacted. Then write “My Respect” and then follow your full name.
- Make sure the contact information is listed under signature.
8. Attach your CV. To avoid causing problems by accidentally pressing the “Send” button, complete, correct, and fill in the subject line in email, before you type the email address of the personnel manager on the To line.
